1. Stay informed. Follow governmental regulations. Know what is happening inside and outside the organization.

 2. Get a list of all your upcoming meetings and events and categorize them by size, type, venue and budget.

3. Rate your events on a variety of conditions such as:

  • Attendee impact- What are the risks of hosting the event? Can attendees cancel?
  • Business impact- How are refunds being processed? Will cancelling or moving to a virtual event affect your brand and budget? ROI?
  • Vendors and venues- Review your contracts and cancellation clauses; do you have event insurance?

4. Have your dream team ready. Decisions will need to be made promptly. Go through your event list and decide on the best course of action for each event. Small events and meetings should be easy enough to make virtual. Larger events may require a more strategic approach that uses technology, an altered agenda, and a modified budget.

5. Stay agile. An ongoing crisis requires creativity and flexibility. Keep your team engaged and working together towards providing the best outcome for your attendees. Communicate with your members, registrants, vendors, and exhibitors.
